Steps to use COUNTIFS function in Excel

Anyone working on Excel would have used Count many times. COUNTIF function is popular to do single criteria based counting. In case the requirement is counting of cells with multiple condition checks, then COUNTIFS is the go to function. COUNTIFS function allows multiple criteria checks at the same time. As COUNTIFS functions checks multiple criteria in a single go, number of parameters becomes a bit high. That makes utilization of the function a bit complicated. This article covers steps to use COUNTIFS function in Excel.

Emma has the list of customers for her company. She has information like name, gender, country, job title. Emma wants to know the number of Female employees working in Germany. Also, she is looking for male employee count in Canada.

Use Countifs function in Excel

Below are the key steps to help Emma get the results:

  • Step 1: The first step is to enter the criteria_range1. The first criteria to check is gender, which is present in column F. So, cirteria_range1 would be F5:F104.

  • Step 2: Next step is to fix the cells of criteria_range1. Reason to do so is to easily copy paste the formula in bottom cells for counting other cases.

  • Step 3: Third step is to add the cell which has criteria value. Here cell J5 contains criteria value i.e. Female.

  • Step 4: Add criteria_range2, i.e. the cells to check second criteria. Second criteria is to check if the country is Sweden. To check this, country column, i.e. column G will help. So, criteria_range2 would be G5:G104.

  • Step 5: Here also fix the cells of criteria_range2, as mentioned in step 2.

  • Step 6: Add criteria 2, i.e. the cell which countains country value for comparing purpose. Cell K5 contains country value. Press Enter to get the result.

  • Step 7: Copy the formula from cell L5 to cell L6 to get number of male employees in Canada.
